Office Administrator

Job Description:

The Office Administrator will support the day-to-day operations of the company. 24hrs/week, Monday, Tuesday and Wednesday, at our office in South Surrey. The right individual must be able to work independently with little or no supervision.

Job Responsibilities:

  • Answering Phone Calls: Handle incoming calls in a professional and courteous manner, directing calls to the appropriate individuals and taking accurate messages when necessary.
  • Perform data entry tasks by accurately inputting financial information into accounting software and spreadsheets.
  • Assist with the new employee onboarding process and maintain a calendar for benefits, employee evaluation and employee birthdays.
  • Prepare multiple documentation.
  • Email Correspondence: Compose and send professional emails to clients, subcontractors, and colleagues as required. Ensure prompt and accurate communication, including responding to inquiries, forwarding important information, and maintaining email archives.
  • Assist in organizing and filing paperwork, including contracts, reports and other relevant documents.
  • Purchase Order and Change order creation: Collaborate with project managers and subcontractors to gather necessary information for creating purchase orders. Prepare purchase orders accurately, ensuring compliance with company procedures and budgetary constraints. Maintained purchase order records and tracked delivery status.
  • Other administrative tasks as required.

Experience: Minimum of one year of experience in an administrative or office environment preferred.

Education: High School Diploma or equivalent required.

Skills:

Strong verbal communication skills required.

Proficiency in Microsoft Office (Work, Excel, Outlook)

Attention to detail and accuracy in handling paperwork

Ability to multitask and prioritize tasks effectively.

Job Type: Part-time
Part-time hours: 24 per week

Salary: $22.00-$25.00 per hour
