Export Documentation Specialist (Hybrid: 3 days onsite & 2 days WFH)

We’re currently seeking a dynamic, detail-oriented individual to join us in the role of Export Documentation Specialist. This position will consist of the preparation, distribution, and maintenance of all export documents for various geographical regions. This individual should have strong typing skills as it is heavily a data entry position. The Export Documentation Specialist will respond to customer inquiries, verify and distribute invoices, prepare and distribute accurate documents, and assist with tracking tracing for all shipments in a timely manner.

KEY RESPONSIBILITIES

· Export Documentation responsibilities include data entry and preparation of HBL and MBL ocean bills of lading, creation and distribution of invoices and timely release of finalized documents and pre alerts

· Ensure the on-time delivery of customer's documents

· Process approval of bills of lading

· Customer/carrier troubleshooting and issue resolution

· Manage incoming emails to general Ocean Booking Mailbox.

· Send updated booking confirmations to customers with new shipment dates based on details received from the Steamship Line.

· Assist Pricing with First Availability “Checks” with Steamship lines and Truckers.

· Requesting simple CY / CY (Container Yard) bookings with carriers in assisting Export Specialists.

QUALIFICATIONS

  • 2+ years of NVOCC/Ocean Carrier experience in the documentation field
  • Solid computer skills including experience with Microsoft Office (Word, Excel, Outlook)
  • Highly organized and detail-oriented with an ability to meet deadlines
  • Strong typing skills and experience with export data entry
  • Strong written and verbal communication skills, including the ability to build positive relationships with external clients as well as internal teams.
